Legal status and governance
The Arbitrary Hill Foundation is a registered non-profit organisation in the Commonwealth of The Bahamas, Registration ID 1732, with its registered office at 3J7F+MRM, Dolphin Drive, Nassau. The Foundation is governed by a written constitution and a board of six unpaid directors elected to three-year terms at the annual general meeting, which is advertised publicly and open to any resident. No part of the Foundation's income is distributed to directors, members or officers except as reasonable reimbursement of documented expenses, or as salary to the four employed staff at rates set by the board and recorded in the minutes.

84% of total expenditure was applied directly to programme delivery. The surplus of $6,800 was transferred to the hurricane contingency reserve.
Financial controls
- All bank accounts require two authorised signatories; no single officer may disburse funds alone.
- Any expenditure above $2,500 requires prior board approval recorded in the minutes.
- Cash collected at community drives is counted by two unrelated volunteers and banked within two working days.
- Programme assistance is paid to schools, suppliers and clinics directly wherever possible rather than in cash to households.
- Accounts are prepared by the Treasurer and independently reviewed each year by an external chartered accountant with no other relationship to the Foundation.
Conflict of interest
Directors, staff and volunteers must declare in writing any personal, family or commercial interest in a matter before the Foundation. A declared party takes no part in the discussion or vote on that matter, and the declaration is recorded in the minutes. A register of interests is maintained at the office and may be inspected on request.
Non-discrimination and use of funds
Funds are applied exclusively to the charitable purposes set out in our constitution: education, health, welfare and environmental stewardship for residents of New Providence. No funds are applied to partisan political activity, to any candidate for public office, or to the private benefit of any individual. Assistance is provided without regard to race, national origin, immigration status, religion, gender, disability, age or political affiliation.
Requesting records
Any resident, donor or partner organisation may request a copy of our constitution, the most recent reviewed financial statements, or the minutes of the annual general meeting. Personal information relating to programme participants is redacted from all records released.
Complaints
Concerns about the conduct of a volunteer, member of staff or director should be addressed in writing to the Chairman at the registered office. Complaints are acknowledged within five working days and considered by the board at its next meeting, with the outcome communicated in writing to the complainant.
