Privacy Policy

Last reviewed by the board on 14 January 2026. This policy explains what personal information the Arbitrary Hill Foundation collects, why we collect it, and what we do to keep it safe.

1. Who we are

The Arbitrary Hill Foundation ("the Foundation", "we", "us") is a registered non-profit organisation, Registration ID 1732, with its registered office at 3J7F+MRM, Dolphin Drive, Nassau, The Bahamas. For any question about this policy, contact us at madamedo466@gmail.com or +1 242 322 2393.

2. Information we collect

  • Programme participants: name, address, telephone, household composition, school attended, and a brief note of the assistance requested.
  • Volunteers: name, contact details, identification reference, character references, and where the role involves children, the result of a police certificate check.
  • Donors: name, contact details and the amount and date of gifts, for receipting and accounting purposes.
  • Website visitors: details submitted through the contact form, and a language preference stored in your browser so the site opens in the language you chose.

Health screening readings taken at our mobile clinics are recorded on paper, handed to the resident, and are not entered into any Foundation database. Only anonymous attendance counts are retained.

3. Why we collect it

We use personal information to assess and deliver assistance, schedule and supervise volunteers, acknowledge and account for donations, comply with legal and audit obligations, and communicate about programmes and events. We do not use personal information for any purpose incompatible with these, and we do not make automated decisions about individuals.

4. Sharing

We do not sell, rent or trade personal information. We share it only where necessary: with a school or clinic to arrange the specific assistance you have asked for; with our independent reviewer during the annual accounts review; or where we are required to do so by law. Volunteers and staff sign a written confidentiality undertaking before handling any participant record.

5. Retention

Programme records are kept for five years after the last assistance provided, volunteer records for three years after service ends, and donation records for seven years as required for accounting purposes. Paper records are stored in a locked cabinet at the registered office; electronic records are held on password-protected devices accessible only to authorised staff.

6. Your rights

  • To ask what personal information we hold about you and receive a copy.
  • To have inaccurate information corrected.
  • To ask us to delete information we no longer need for a lawful purpose.
  • To withdraw consent to further communications at any time.

Write to the Executive Director at the registered office or email madamedo466@gmail.com. We respond within thirty days at no charge. Refusing consent to marketing communications never affects your eligibility for assistance.

7. Children

Information about a person under eighteen is collected only with the written consent of a parent or guardian, is limited to what the programme requires, and is never published, photographed or shared without a separate signed permission from that parent or guardian.

8. Cookies and this website

This website does not use advertising or tracking cookies. It stores a single preference in your browser recording the language you selected. Embedded map content is served by a third party which may set its own cookies under its own policy.

9. Changes

Any change to this policy is approved by the board and published on this page with a revised review date. Material changes are also announced at the annual general meeting.
